Adapt or fall behind: The new rules of recruitment productivity

Boosting productivity while navigating an evolving market – pipe dream or possibility?

Written by Jayne Wogan

Recruitment is changing at a faster pace than I’ve ever seen in my 25 years in the industry. Agencies face mounting pressure to not only attract top talent but to do so with increasing efficiency and precision.

The last 2 years in staffing and recruitment have been challenging for everyone.  Team numbers have contracted and yet the demands are greater than ever - both in terms of output and the quality of candidates presented to clients. As the industry faces a myriad of hurdles to overcome, including rising competition, technological advances, and shifting candidate expectations, it’s going to be difficult to survive without rethinking the way you do business and the tools you need to remain competitive and boost productivity.

It's easier said than done. The sands are constantly shifting so how can recruitment teams navigate these challenges whilst improving productivity? More importantly, how can recruitment technology drive performance and help teams stay ahead of the herd?

The rising pressure on recruitment teams

Recruiters have long been under pressure to juggle multiple responsibilities: sourcing talent, managing client relationships, conducting interviews, and closing deals. But with these challenges now compounded by external factors, the stakes are higher than ever.
The talent shortage

According to a 2024 report by the Recruitment & Employment Confederation (REC), 77% of UK businesses are facing difficulties finding suitable candidates. A similar trend is seen globally, as the war for talent intensifies.

Recruiters are not only competing against other agencies but also against in-house HR teams who are increasingly adopting technology to streamline their hiring processes.

Time-intensive processes

Recruitment remains a heavily manual process for many firms, leading to inefficiencies. A report from LinkedIn Talent Solutions, highlights that 40% of recruiters feel that the time spent on administrative tasks detracts from their ability to engage with candidates and clients.

These administrative burdens often lead to missed opportunities, delayed placements, and lower overall productivity.

Data overload

Recruiters today have access to a wealth of candidate and market data. While this information is invaluable, it can also be overwhelming. The key challenge lies in how to sift through the noise and derive actionable insights.

In fact, 60% of recruiters report struggling to use data effectively in their decision-making process, according to Jobvite's 2024 Recruiter Nation survey.

How Kyloe is leading the charge

At Kyloe, our mission is clear: to help recruitment agencies move past the challenges and deliver exceptional results. Our company has dedicated itself to developing products and solutions for Bullhorn customers that make recruiters more effective by tackling some of the most persistent pain points in the industry.

Our focus is on simplifying and automating the often tedious and repetitive aspects of recruitment; leveraging the latest tech including AI to empower recruiters to focus on what they do best: building relationships, nurturing talent, and driving placements.

1. Streamlining the recruitment process

At Kyloe, we are constantly improving and developing our suite of products and solutions to maximise value when used individually or together.  They provide the bedrock for transforming data quality, automating documents, processes and workflows or providing expert solutions that are customisable to meet the unique needs of each customer.

It's our commitment to improving operational efficiency that means that recruiters can spend more time building rapport with clients and candidates, rather than being bogged down by administrative tasks.

We recognise that this is particularly important in an environment where time is of the essence. Research from Glassdoor shows that 60% of job seekers say that the speed of the recruitment process impacts their decision to accept a job offer. Therefore, efficiency isn't just about internal productivity - it's also about providing candidates and clients with a faster, more responsive experience.

2. Empowering Super Recruiters

We’re not just about providing tools to make recruiters more efficient; we also help recruiters become the very best at their jobs. This is where the concept of the “Super Recruiter” comes into play, a term we use to describe those who combine productivity tools with high-touch relationship building.

In our recent Super Recruiter blog post, we outlined how the best recruiters leverage technology to stay organised, stay ahead of trends, and develop deeper, more meaningful connections with their clients and candidates. These are the recruiters who not only fill roles faster but also bring long-term value to their clients.

We recognise that technology alone isn't enough. We’ve built our solutions to integrate with and complement recruiter behaviours, enhancing the individual recruiter’s ability to manage and prioritise work effectively.

3. Data-driven decisions

Recruitment agencies increasingly rely on data to drive decisions, but without the right tools to collect, analyse, and apply that data, it can be a frustrating experience. The biggest problem we see is that if you’re starting with poor, incomplete or outdated data, no matter how hard you try, it’s impossible to drive real change with any degree of confidence. Data management is a time-thief and time is a rare commodity for recruiters.

Finding tools that can automate updates, trigger actions automatically and help make the most of the data you have in your CRM (which you’ve paid a lot of money to acquire) is essential for the recruiters of the future to stay on top of their game and more importantly, ahead of the competition.

Looking ahead

As the recruitment industry continues to evolve, one thing is clear: embracing technology is no longer optional. It’s essential to stay competitive and you need to start now. Working with innovators and partners, you can continue to find new routes to productivity, success and growth.

In the end, it’s all about giving your recruiters the tools they need to move mountains. After all, the more effectively you manage your talent pipeline, the better you’ll perform - and the greater the chance you’ll be the first to close that deal.

So, that old trope about productivity being working smarter, not harder still holds true. One of the smartest things you can do is find the right partner to support you on that journey and we’re here to help.
