What's costing you time and money and how to fix it

The invisible cost of recruitment: 5 takeaways from London RecExpo 2026

by Amaya Capracci, Product Marketing Lead at Kyloe Partners

I had the opportunity to attend this year’s Recruitment Agency Expo London 2026, and one message was impossible to ignore: although agencies are busier, margins remain under pressure.

This inspired me to look forward, to understand how recruiters are working harder, but not necessarily smarter and much of the problem lies in the invisible costs quietly consuming time, energy, and profit.

What we’ll cover in this blog:

  1. What are the hidden costs to recruiter performance
  2. Why is intelligence overtaking automation?
  3. Proving ROI where it matters
  4. Empowering with AI, not replacing recruiters
  5. Turning invisible costs into competitive advantage in 2026

1. What are the hidden costs to recruiter performance

Across sessions, agency leaders listed the same frustrations that have become part of a recruiter's daily routine:

  • Chasing candidates for updates
  • Formatting CVs to client specifications
  • Generating contracts and managing compliance documents
  • Keeping up with system admin
  • Re-entering data across disconnected tools

These repetitive tasks drain hours every week. Hours that could be spent sourcing or placing candidates. They cause frustration, slow down time-to-fill, and ultimately eat into profit margins.

2. Why is intelligence overtaking automation?

It’s tempting to look to automation alone to fix inefficiency. But, as this year’s RecExpo proved, the conversation has evolved. Automation handles volume, intelligence delivers impact.

Recruitment is moving into an intelligence-driven era, where success depends on how well agencies understand their markets, candidates, and internal performance. This aligns perfectly with our vision at Kyloe Partners: technology that enriches recruiter workflows with actionable intelligence rather than replacing human effort.

Our tools (like Kyloe NoteTaker, which automatically captures and structures call notes) and recruitment solutions integrate directly with Bullhorn - and are designed to tackle these invisible costs head-on. The result? Recruiters spend less time on admin and more time delivering results.

3. Proving ROI where it matters

Another key theme from RecExpo was the demand for measurable ROI. Agencies no longer want theoretical savings, they want proof.

Some of the things we’ve heard are that recruiters want:

  • Time saved per placement
  • Records automatically enriched
  • Calls captured and converted

Basically - admin tasks completed without manual input.

4. Empowering with AI, not replacing

Our founder, Raymond Pennie, has repeatedly said in 5 Point Friday (his free weekly newsletter - sign up here), that AI won’t replace recruiters. Recruiters using AI will outperform those who don’t.

And that belief is at the heart of everything we build at Kyloe. We see AI as an augmentation tool empowering teams to be faster, sharper, and more informed.

Recruitment will always be about people. Our role is to ensure your technology works just as intelligently as your best recruiter.

5. Turning invisible costs into competitive advantage in 2026

So the big question is... How do you stay ahead in 2026 and beyond? Here are a few thoughts. Agencies and recruitment companies (regardless of their industry) need to:

  1. Eliminate administrative drag
  2. Operate in real-time across their tech stack
  3. Build and leverage candidate intelligence
  4. Prove ROI before committing
  5. Empower teams through automation and AI

When every second and every margin counts, it’s what you don’t see that hurts most. The good news? With the right intelligence layer, you can make every minute, and every recruiter, work harder.
