After working with firms for years we still see them trying to navigate difficulties in their database. Relying on manual processes where we see an automated solution.

Take the traditional document journey and the enormous amount of wastage experienced in creating, editing, integrating and processing documents. They continue to endure delays and the rigmarole of having to create, print, download, scan and upload the process.

However, waiting for an unsigned contract, a non-disclosure agreement or confirming an assignment schedule, opens a firm up to risk and creates undue pressure and wastage on its admin.

It’s time we remove the assembly line in documentation that keeps firms away from revenue generating tasks. By partnering with automation technology, you can work smarter, remove the risk and streamline workflows.

We put together five further reasons we believe that removing the manual constraints of staffing documentation should be a priority for firms.

1. Add professionalism and build trust

A locker of editable templates to draw from allows you to easily deliver and maintain a professional script in your business communications. It creates continuity and ensures everything is uniform and branded. Even something as little as different letterheads, spacing or colouring, can sow the seeds of uncertainty with clients. It also allows companies that work across multiple locations, languages and personnel, to easily sing from the same hymn sheet. Consistency is after all the hallmark of professionalism.

2. Limits inaccuracies

Having a constant back and forth between your external documents and CRM increases the likelihood that mistakes will creep in.

Automating the process allows you to pull data quickly and accurately from your CRM and narrows the margin of error. It’s far less likely a rogue ‘s’ on a name or extra 0 on a salary will be overlooked if you’re able to easily integrate the correct data from your CRM with document automation. Mistakes happen, which is why the ability to identify and address them swiftly is a necessity. It’s incredibly wasteful that most firms are forced to drag a document out of their CRM into an editor to simply dot an I or cross a T.

3. Optimise your resources

Having someone redraft the same information across different systems is not optimising your staff, especially when integration will reduce it to a fraction of the time.

Smart automation allows you to pull data from your CRM and populate documents where possible. It streamlines the entire process so that you can better allocate your resources, be it staff or additional software. It saves businesses time, money, and headaches by replacing the manual work with automated solutions.

4. Do more with less

It might be an overused adage in business, but it remains true that time is money. The various gates in processing documentation creates a chorus of unhappy workers, staff, and legal exposure. Most of us will be familiar with a period of employment purgatory where we’ve waited on contracts to be sent, signed and returned. It creates unease, a lack of clarity, legal risk and most importantly, delays. Document automation accelerates the process and allows you to make more from your time.

5. Decrease local documents, increase security

All businesses will house pricing, financial figures, sales results, forecasts and customer data they want to keep private. Automation limits the number of people involved in handling sensitive documents and the number of channels they travel through. It’s a smart way to limit the risk of necessary business documentation.
